Setting Organisation-wide Default Recording Access Policy

You can update your default policy from the recording section of the settings page.

Note: if Public is checked, this means anyone with the session playback link will be able to access and view the recording, regardless of the other checked policies.

Setting Recording Access Policy Per-Space

You can override the organisation default on a per-Space level, either when first creating a Space, or by editing a Space. Only future sessions in the Space will adopt this new policy setting. Any past sessions or sessions that are currently in progress in the Space will not have their access policy changed by changing the Space policy. To change a Session’s recording access policy, you will have to change it from the Sessions view.

Setting Recording Access Policy Per-Session

On the Sessions view you will see the current recording access policy (if there is a recording available for the session). You can change this policy on a per-session basis by selecting More Actions → Change Recording Access.

Trying to Access a Recording

If an unauthenticated user tries to access a recording that does not have a public access policy, they will be prompted to log in first.

If an authenticated user tries to access a recording that does not match their role in the organisation - or they were not a participant in the session, in the case of a “Participants” access policy - then they will be blocked from viewing.

FAQ

What does “any recordings” mean?

This refers to recordings that a user either participated in or has been given the link to.

What’s the difference between checking “Students” and “Teachers” versus leaving “Public” on?

If Public is unchecked, only logged-in users can view recordings - even if they have the link. If Public is checked, anyone with the link can view the recording.

What’s the recommended setup?

For most organisations, we recommend keeping the default setting (Public checked). This allows students and teachers to see the recordings they took part in on their dashboard (this is the default behaviour), and anyone with the link (for example, a parent) to view the recording even if they weren’t part of the session.

Why are there multiple visibility options?

Some organisations have different privacy requirements. For example, certain regions restrict teachers from accessing recordings, while still allowing students to view them. In such cases, admins can untick Public (so only logged-in users can view recordings) and tick only “Students.”
